Receptionist/Administrative Associate

Summary:
The mission of Whitesburg Baptist Church is to “help people encounter Jesus and experience life change.” The full-time Receptionist/Administrative Associate position will support this mission by providing data-entry maintenance and administrative support, but also phone and personnel duties on behalf of the church staff. As such, this position closely interacts and coordinates with each ministry area.

 Preference given to individual who is a regular attending member of Whitesburg or in process of becoming a member

Key Receptionist Duties:
 Be the first voice and face of Whitesburg Baptist Church
 Answer the church phone, screen and direct calls with a positive and helpful spirit
 Welcome, greet, screen and direct visitors
 Be a gatekeeper – courteous to each person while protecting staff time
 Manage the phone system
 Maintain the church office reception area neatly
 Respond appropriately to church entry access requests
 Sign for/accept deliveries and notify recipients of shipments
 Take the initiative to know what’s happening at the church (informed of calendar and ministry events)

Key Administrative Duties:
 Responsible for all Realm People data-entry and file maintenance (including but not limited to Life Group and Equip Group attendance)
 Maintain churchgoer database and ensure membership status accuracy
 Provide accurate weekly and ad-hoc figures for reporting to assist ministry areas
 Become Realm People “expert”
 Stay up-to-date on processes and technology needs that could assist Whitesburg
 Develop plans to better improve task and assimilation of data
 Develop tracking of guests and prospects for smooth communication and journey for individuals

Other Requirements/Qualifications:
 Be able to handle information in a confidential manner
 Be able to handle distractions and interruptions in a graceful way
 Be able to work on multiple tasks simultaneously, while managing timelines and achieve deadlines
 Proficient computer skills, especially MS Office suite (Excel & Word)
 Knowledge of Realm church software (preferred but not necessary)
 Requires strong communication skills, both verbally and written
 Strong organizational skills with analytical and problem solving mindset
 Be willing to receive other duties as directed by Business Administrator
 Team mindset

Working Conditions:
This position is in a typical office environment and might require occasional lifting (capable of lifting 20 lbs). Work days and hours will be standardized. Work is on-site generally in the receptionist office area.
Attire is business casual.
