FINANCIAL PUBLICATION SECRETARY DESCRIPTION
The Financial Secretary’s primary responsibilities are managing church financial records and Ministry Assistant to the Senior Pastor. These responsibilities include posting individual offerings, maintaining giving records and maintaining investment records.
RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:
Maintain and process checks from the General Fund for Accounts Payable, payroll, reimbursements, and purchase orders for signatures.
Maintain the General Ledger and post funds to appreciate line items. Maintain and process checks from other accounts such as Money Market or Loan Accounts when applicable for signatures.
Set up new vendor accounts and fill out reference forms when needed.
Prepare, copy and collate monthly financial reports.
Prepare and file quarterly and yearly IRS reports.
Prepare and file quarterly Federal, State, and City taxes.
Print and file all IRS forms each year following tax regulations for each employee. Enter and post weekly contribution records to the appropriate donator.
Prepare and mail end-of-year contribution records for each contributor.
Maintain employee records including W-4’s, time cards, resumes, and I-9’s.
Assist with maintaining accurate membership and small group records up to date
Assist in all graphic work from announcement slides and publications.
Maintain and order office/kitchen supplies as needed.
Prepare bank deposits and take to the bank as needed.
Issue and maintain church member offering envelopes.
Answer questions regarding receipts and expenditures of the church.
Function as insurance clerk and prepare insurance claims as needed.
Handle duties assigned by the ministerial staff.
Work with the Facility Manager in informing them when an event is scheduled and what janitorial supplies may be needed for order.
Maintain wedding applications and schedule pre-marriage counseling when required. Assist in answering the office phones and other duties when necessary.
Secertarial duties related to the ministerial staff including sermon outlines, powerpoints, etc.
Keep the staff and deacons informed of any deaths, illness and other crisis of the membership
