Church/Financial Secretary Job Description
Qualifications
• Evidence of a relationship with the Lord Jesus Christ and a personal walk with Him.
• Ability to perform the specific duties as specified below.
Duties
• Maintain regular office hours according to a publicized schedule. Typically Monday through Thursday 9 AM to 2 PM. A schedule outside of these times can be approved by the Pastor, Administrative Pastor, or Personnel Committee
• Open and distribute mail to the appropriate parties.
• Answer all telephone calls giving all pertinent information and assistance as appropriate.
• Greet individuals visiting during office hours.
• Handle all service calls and deal with vendors.
• Arrange repair and maintenance services as requested by the House and Grounds Committee, Administrative Pastor, or Deacon Board.
• Order Office and Cleaning Supplies ensuring they are kept in stock.
• Attend all church council meetings.
• Maintain the church calendar.
• Order Sunday school literature.
• Make deposits of all offerings received and return deposit records to the church treasurer.
• Receive electronic records and forward them to the church treasurer.
• Maintain a record of all contributions and furnish statements of giving to all contributors annually by January 31st.
• Prepare the weekly church bulletin, including making copies, folding and stuffing.
• Assist as requested with special projects undertaken by ministerial groups such as WMU, Brotherhood, Discipleship Training, Senior Adult Group, and Sunday School.
• Work with the Administrative Pastor and Church Clerk to maintain a list of current Waterstone members.
• Work with the Deacon Chairman and the Administrative Pastor to record all deacon and trustee elections. Such duties will involve obtaining and filing a record of the election date, the candidates elected, the candidates selected as alternates, and whether the candidate was elected for a full term or to fill a partial term resulting from someone vacating a term before its expiration. The secretary is not expected to have any role in the administration or transpiration of the election.
• Work with the Administrative Pastor to keep an accurate list of all members of current committees.
• Assist families needing immediate help with food/groceries.
• Assist the Youth Pastor and Children’s Ministry Director with copying/printing items, planning events, making reservations, etc.
• Compile a list of announcements and text to leaders for Sunday Morning Services.
• Maintain Facility Reservation schedule.
Confidentiality
The Church Secretary is in a unique position regarding church records. Few people (Church Secretary, Treasurer, Counting Committee) see members giving information. This information must be kept in the strictest of confidence. Occasionally, the Pastor or other church staff may counsel individuals. This is also information that should be held in the strictest of confidence.
Hours
Hours will be set at 20 per week over four days according to a publicized schedule but may be increased if the workload becomes too great for this time. This increase must be approved by the church. Since this is a part-time position, there will be no paid sick leave, paid vacation, or paid holidays. However, the secretary may be granted permission from the Pastor, to take time off, with the option of making up the time by working extra hours or extra days beyond the twenty hours per week.
Compensation
A time sheet containing hours worked will be submitted to the Treasurer weekly. Remuneration will be at an hourly rate established by the budget committee, approved by the deacons, and voted on by the church.
