Church Secretary/Ministry Assistant

General Purpose:
We are looking for an experienced Church Secretary/Ministry Assistant who can oversee numerous church operations, assist the Pastor, church council and other staff.
Overview:
• Must be a Christian and represent not only Farmville Baptist Church, but Jesus Christ Himself and demonstrate a real love and concern for all people
• Must be pleasant, discreet, tactful, and capable of honoring confidential communications
• Must have general knowledge of all office equipment and supplies
• Must show a willing attitude of Christian service to their position and its responsibility
• Must be able to deal with various types of personalities, both on the phone and in person, in a professional manner
• Must be an active member of a local church
• Perform general office work, under the supervision of the Pastor and cooperation with the other staff

Responsibilities:
• Pick up and distribute mail and correspondence
• Answer telephone with professionalism, courtesy and confidentially, whether in receiving callers or in person.
• Also, keep a calendar of all church activities
• Maintain emails daily with a response or forward to necessary party
• Perform general office work; maintain supplies and various files; keep records and compile these into monthly, quarterly or annual reports
• File and maintain reports, correspondence and other assigned materials
• Responsible for ordering Sunday School materials or other supplies and pickup office supplies as needed
• Work with Church Clerk to keep accurate church records, (church members, prospects, calendar, etc). Prepare and maintain Church members mailing lists and
Church roster.
• Communicate with the church leaders for announcements for the bulletin
• Prepare, edit and print weekly church bulletins
• Maintain Sunday School attendance records and prepare monthly classroom log
• Coordinate baptismal services and notify Baptism committee. Send confirmation to candidates and prepare certificates
• Scheduling and following church policy regarding building usage and key checkout. Monitor code access into church by members or new members gaining
access
• Perform other duties or tasks assigned by the Pastor, Deacons or Committee Chairs as needed

AFTER SIX MONTHS OF EMPLOYMENT THE FOLLOWING MAY BE ADDED TO THE RESPONSIBILITIES WITH THE ASSISTANCE OF THE TREASURER:

• Post receipts and disbursements of all accounts according to financial systems
• Post weekly offering to individual accounts; file envelopes
• Prepare bank reconciliation statements monthly in Quick books
• Record individual record of contributions and make bank deposits
• Prepare financial reports for the Finance Committee and church business meetings, prepare monthly and annual financial statements
• Make monthly, quarterly and annual government reports
• Check and total all invoices when approved; inform responsible persons (committee chair) of their budget expenditures
• Receive and answer questions concerning financial matters; maintain file of invoices, correspondence, and reports
• Prepare and issue checks in accordance to church policy

Qualifications/Experience:
• A high school diploma, some college preferred
• Experience and thorough understanding of basic secretarial duties with Microsoft Office, including Word, Excel, Power Point, Publisher and accounting software Quick Books
• General knowledge of scheduling maintenance
• Demonstrated leadership skills
• Ability to multitask and prioritize duties
