Summary of Role:
The primary purpose is to be the voice and face of Riverside Baptist Church and its Mission Outreach Ministries to the members, guests and community of Helena, AL by providing warm, courteous and professional services. The ministry assistant will also help to ensure the safety and security of the entrance and reception areas of the building as well as provide general secretarial and office support to the pastoral ministry team of Riverside Baptist Church and Mission Outreach Ministries.
Relationships: Reports directly to Senior Pastor
Works closely with the following internal contacts: Worship Pastor, Student Pastor, Children’s Ministry leader, Directors of Mission Outreach Ministries (ASC, ELC and RCA)
Responsibilities:
Reception Support:
Provides warm, courteous and professional service to Riverside members, guests and the community of Helena, AL. Will open the church promptly at 6:00 am Monday – Friday.
Answers and redirects phone calls to the appropriate area or person within the church, and takes messages for those unavailable to receive calls.
Responds to general inquiries as they occur
Greets visitors and notifies the appropriate individuals of their arrival, or assessing who could best meet their needs.
Monitors the sign-in systems and provides a visual check on those entering the building.
Maintains, on a daily basis, the professional appearance of the reception area and entrance way.
Maintains and updates phone system as necessary with changes to messages, extensions, programmed number changes, time changes, etc.
General Office Support:
Provides general secretarial and office support to the ministerial staff, directors of the Mission Outreach Ministries and lay leaders of the church.
Assists with mailings for all ministries as required.
Receives delivery packages and prepares waybills for UPS and/or FedEx, as necessary and calls for courier pick-ups, as required.
Maintain email accounts, websites and member databases.
Works closely with the financial secretary in order to coordinate office needs
Contact person for vendors servicing church and ministries.
Assists the ministerial staff and directors with some computer support (i.e. documents/charts, etc).
Completes other duties as assigned by the Senior Pastor.
Requirements/Qualifications:
The Receptionist/Secretary represents the voice and face of the organization. The position requires a gentle, kind and courteous telephone voice and someone who can greet with a friendly smile. An experience level that will allow this person to work in a courteous and professional manner with staff, members of the church and walk-ins from the community while independently juggling many different tasks for multiple people.
A high energy level, motivated by working with a variety of people, an optimistic, empathetic attitude is required for this position. The most important asset is a smile on your face and in your heart.
Must Have:
Familiarity with office equipment
Excellent attendance record; reliability/dependability
Good computer/technology skills, including: MS Office (Word, Excel, PowerPoint and Outlook)

Education:
High School Diploma
Experience:
Experience as a receptionist working with the religious community and members of an organization is preferred, but not required. Experience preparing written correspondence (i.e. letters, memos, meeting minutes, etc.). Moderate level of expertise in the areas of office practices and procedures.
